About the Academic Personnel Services Unit

In 2010 the College began the centralization and reorganization of our merit and promotion process, which resulted in the creation of the CNAS Academic Personnel Services Unit (APSU).  During this time APSU has handled the merit and promotion files for the Departments of Biology, Biochemistry, Botany & Plant Sciences, Cell Biology and Neuroscience, Earth Sciences, Entomology, Environmental Sciences, Math, Nematology, Plant Pathology & Microbiology, and Statistics.  As of  July 1, 2011, APSU will add the rest of the CNAS departments:  Chemistry and Physics & Astronomy.

APSU Services Provided

Merit and Promotion Process (Department & College level)
  • eFile training and coaching efforts, either in group or individual settings, for both senate and non-senate academics.
  • Provide Chairs with annual Merit/Promotion eligibility lists and notify eligible faculty.
  • Develop a timeline of appropriate due dates for faculty files in conjunction with chairs.
  • Generate and process eFile snapshots; provide assistance to faculty on different M/P actions and information to include in their files; verify the period of review.
  • Work with individual faculty to finalize their files and assist in notifying departmental ad hoc committees and/or reviewing faculty.
  • Review and update with chairs departmental voting procedures as required by Academic Senate By-law 55.
  • On actions that require extramural, CE and/or students letters, responsible for sending out appropriate materials, verified by the faculty member, to external bodies and keeping track of responses.
  • Adhering to Call guidelines, open eFile snapshots and departmental letters for review to the candidate, chair, and appropriate faculty.
  • Process and review M/P files for non-senate academics (i.e., Researchers, Specialists, Project Scientists, Academic Coordinators, Academic Administrators, Continuing Lecturers, and Adjuncts).
Academic Personnel Analysis (College level)

**Please allow 5 to 7 business days for approval of requests that are Dean's final.**

  • Review and process all departmental academic leave requests including leaves of absence, sabbaticals, FMLA, APM 025 Conflict of Commitment, and Stop the Clock.
  • Recruitments and removal expenses.
  • Recalls, appointments and reappointments of all academic titles, affirmative action waivers, and course buyouts.
  • Instructional Workload Credits (IWCs) for lecturer appointments.

Faculty Responsibilities

  • Faculty are responsible for preparing their advancement files.  The time required to do this is drastically reduced by continuously entering and updating data into their eFile.  eFile has new functionality that allows for the assignment of the data entry role to someone of their choosing.  There is also new functionality to assist with uploading publications.
  • Faculty are responsible for the accuracy of the factual content of files and keeping track of committee assignments and supervision (i.e., graduate and undergraduate students, etc.).
